How to backup your computer automaticaly

Many times people ask me how to backup their files and documents so here is a tutorial explaining five different ways so you can choose the one that suits you best.

For all of these methods(apart from the online backup) you need a backup device like an external hard drive or usb flash drive. For the backup device size it is a good practice to buy twice the size of the data you want to backup so you don't have to think about replacing it for few years when your data increases.
For example if you have
  • 1000 song = 4-5gb
  • 10 downloaded movies = 8-10gb
  • 1000 pictures - 4-6gb
  • 3 x DVD movies = 10-12gb

this so far is around 30gb so these days even the smallest hard drive which is 80gb will do the job for you , but even the biggest flash drive will not be enough. Using DVD's for backups is not a very good idea as soon you will loose track and count and they only hold 4-5gb so you will need quite a few discs.



Now lets start with the actual backup process

Built in Vista and Windows 7 Backup Utility

The first and maybe the easiest way if you are on Vista or windows 7 computer is to use the built in backup feature. This way is quite robust, but when it does the backup it creates a separate folder named by the date.Each folder only includes the changes from the previous backup. This is not very user friendly if you want to recover your files manually as you have to dig in each folder to find your backups , but using the vista or windows 7 recovery tool is not a problem as it find and organizes everything for you.


Using The free SyncBack software

Download SyncBack This is the best free backup tool that has all important backup options. The user interface is quite confusing when you first start using it , but spend some time with it and you will get used to it. Another major thing we have noticed is that the backup reports and comparison table are not very clear and easy to follow. It is not the best backup software , but it is the best free one! Here is a tutorial of how to use the program




Vice Versa is our favorite choice

Download Download Vice Versa It is not free , but the most advanced with side by side file comparison table. Feature wise it is quite similar with the free syncback software , but the interface is a lot more organized thus making it easer to use and setup



Using Online Backup

Online backup is getting more and more popular and we were also tempted to try it so here is our feedback.
The main advantage is that you can access your backed up data from anywhere as long as you are connected to the internet. The main disadvantage is that it takes a lot more time to complete the backup and not usable for backups larger than 5-10Gb.
we went for unlimited storage as we had around 100Gb to backup and after 3 weeks of trying we gave up. They offer 3-4 different setup options using different software , but none of them succeeded to complete the backup. They would work for a while and after 1-2 days it will return different error messages and we had to contact them to resolve the problem. The online backup is quite limited on a way that you can't verify the backup easy , move folders and check folder sizes.

Using Acronis Backup and Restore

Download and try Acronis Backup and restore Acronis is probably for the most advanced users and its main purpose is to backup an entire computer together with all programs and settings so in case of a system failure you don't have to install all the programs again. If your computer is unusable after the crash you can use the backup to resture to a different computer using a special addon called 'Acronis universal restore'. Acronis Universal Restore works on 98% of the computers due to some driver installation problems explained in this article .

In conclusion we would say if you have less than 10gb use online storage so you don't have to buy external backup hard drives. For more than 10gb try to see if the SyncBack does the job for you if not, try ViceVersa. If you use quite a lot of software and have spent a lot of time installing it, you only choose is Acronis as it will save you the painful process of doing it all again.
